ZapBounce and Insightly

Insightly ties contacts to projects, opportunities and organizations. Those links are what make the record valuable, and they are the reason deleting a contact with a dead address is the wrong move.

A verdict field lets you stop mailing an address while every relationship stays intact.

Deleting a contact takes its project history with it

A contact attached to three closed projects and an open opportunity holds context nobody wants to lose to a list-hygiene exercise. Once deleted, the project record loses its named contact.

The usual alternative, leaving the contact in place, means every list built from the contact base includes the dead address again.

A verdict field solves both. The contact stays linked, and every list filters on the field rather than on the contact's existence.

How the data moves

  1. Add a verdict field to Contacts and Leads

Insightly custom fields are available in filters and reports, so the verdict becomes usable across both objects.

  2. Export through the API rather than the interface

Insightly's API returns linked records alongside contacts, which is what lets you see which invalid addresses sit on active opportunities.

  3. Prioritize contacts on open opportunities

An invalid address on an open deal is an urgent problem for a rep. One on a closed project from 2021 is housekeeping.

  4. Filter every mailing list on the verdict

The contact stays in the CRM with its links, and the mailing list stops including it.

Setting it up

  1. Create custom fields for the verdict and the check date on Contacts and Leads.
  2. Export addresses through the Insightly API, keeping the record ids.
  3. Verify the addresses and write verdicts back by record id.
  4. Run a report of invalid addresses on open opportunities and hand it to the relevant reps.
  5. Filter every mailing list and campaign on the verdict field.
  6. Schedule the export and verification quarterly.

Insightly: common questions

Should I delete contacts with invalid addresses?

No. The links to projects and opportunities are worth more than the tidiness. Suppress with a field instead.

Which contacts matter most?

Ones attached to open opportunities. A dead address there is a deal at risk, not a hygiene item.

Can Insightly verify addresses?

It records bounces after a send. There is no pre-send check on contact creation.
