A trade-show import that reached both teams in a week

Say you import 1,200 badge scans from a trade show into Nutshell on Monday. On Tuesday a rep enrolls the 300 best-fit contacts in a five-step sales sequence. On Thursday marketing sends the post-show newsletter to all 1,200. Badge data is typed by hand at a registration desk, so suppose 7% of it is wrong: 84 bad addresses.

About 21 of those sit in the rep's sequence, and the first step bounces from the rep's own connected mailbox. All 84 bounce in Thursday's campaign. The same 21 addresses have now failed twice in three days, from two sending identities that belong to one company.

Verify the file before the import and bring the result in as one of the import columns, mapped to your custom field. Both teams then start without the 84 known-bad rows, and neither has to clean up after the other.

One field, two different rules

Sharing a verdict field doesn't mean both audiences should apply the same filter.

For the marketing audience a strict filter makes sense: valid only, plus catch-all as a separate send you watch closely. A campaign goes to everyone at once, so a bad segment shows up as one large bounce spike.

Sales sequences can afford to be looser. A rep emailing 30 people a day can include catch-all and unknown contacts, because the volume is low and a reply is what they're after anyway. Plenty of good B2B prospects sit on catch-all domains, and cutting them from a sequence costs more pipeline than it saves in bounces. Invalid stays out of both.

Store the check date next to the verdict and let each filter use it. Marketing might require a check within 90 days before a large send, while a sequence accepts anything checked in the last six months. When a rep edits a contact's email address, clear both fields, since the old verdict describes an address that's no longer on the record.
