Best email warmup tools

Warmup builds a new domain's reputation, and a bad setup or a dirty first list undoes it. Six warmup tools and methods ranked on what protects the ramp.

How this was compared

Disclosure: ZapBounce is our product. Figures were read from each vendor's own pages in September 2026, and the criteria below were applied to every entry, ours included.

The short version

  • Setup before the first send: whether the tool checks SPF, DKIM and DMARC, since a new domain that fails authentication gets no benefit from a ramp.
  • The first real list: whether dead addresses are removed before warmup volume turns into real sends, because hard bounces are the fastest way to lose what a ramp built.
  • Reputation signals: whether you can see blacklist status and the reputation Gmail and Microsoft report for your domain.
  • Cost to start, and whether it needs an account or a card.
  • Disclosure: ZapBounce is our product, and the same criteria were applied to it.

The ranking

ZapBounce

Disclosure: ZapBounce is our product. Free checkers on the same site test SPF, DKIM, DMARC, MX and blacklist status with no account, and generators write the SPF and DMARC records for you. When the ramp reaches real prospects, the list goes through our own SMTP check, which closes before any message is sent.

Best for:
New domains and new sending inboxes that want the setup right on day one and a clean list on the day real sends start. Run the SPF checker and blacklist checker first, then verify the list on bulk at $5 per 1,000 with 100 free checks a month.

Warmup built into your cold email platform

Most cold email platforms include an automatic warmup that sends and replies between inboxes in their user pool, raising volume day by day.

Best for:
Teams already sending from that platform, who want warmup on the same inboxes with no extra login.
Less suited to:
Proving placement with your real audience, since warmup mail goes to other users' inboxes rather than your prospects.

A standalone warmup network

A separate warmup service connects your inbox to a pool of other inboxes that open, reply to and rescue your messages from spam over several weeks.

Best for:
Senders who use several platforms and want one warmup across all of them.
Less suited to:
Reducing cost, since it adds a monthly fee per inbox on top of your sending tool.

Google Postmaster Tools

Google's free dashboard shows the domain reputation and spam rate Gmail records for mail from your domain, once you verify it with a DNS record.

Best for:
Watching how Gmail rates the domain week by week during and after the ramp.
Less suited to:
Low-volume senders, since Gmail shows data only once a domain sends enough daily mail to Gmail users.

Microsoft SNDS

Microsoft's free Smart Network Data Services shows complaint rates and trap hits for your sending IPs at Outlook.com.

Best for:
Senders on a dedicated IP who want Microsoft's view of it.
Less suited to:
Shared-IP senders, since it reports by IP address rather than by domain.

A manual ramp to your own contacts

Sending a few real messages a day to people who know you, then raising the count each week, builds history with real replies.

Best for:
A single new inbox where a few weeks of patience costs nothing.
Less suited to:
Teams warming many inboxes at once, since every step is by hand.

Why ZapBounce ranks first

How to choose

  • Before any ramp: check SPF, DKIM and DMARC. ZapBounce's DMARC checker and SPF checker are free, with no account.
  • Built-in or separate warmup: a platform's own warmup often comes with the plan you already pay for, while a standalone network adds a fee per inbox. Either way, the list you send to afterwards decides whether the reputation holds.
  • Watching the result: Google Postmaster Tools and Microsoft SNDS show how the two biggest providers rate you. The Postmaster setup guide walks through the DNS record.
  • The first real send: verify the list before warmup volume turns into prospect volume. ZapBounce returns catch_all rows apart, so you can send them later at a slower pace.

Questions people ask

How long does email warmup take?

Most senders ramp over two to four weeks, starting with a handful of messages a day per inbox and raising the count as replies and opens come in. A domain with an older sending history can move faster.

Do I need to verify my list if I warm up my domain?

Yes. Warmup builds reputation, and hard bounces spend it. Verify the list first and keep hard bounces under 2% of each send. A check of 1,000 addresses on ZapBounce costs $5.

What should I check before starting a warmup?

Check that SPF includes every service that sends for you, that DKIM signs your mail, and that a DMARC record exists, even at p=none. Then check the domain and IP against the main blacklists.

Can warmup fix a domain that is already on a blacklist?

Warmup on its own won't remove a listing. Find out why you were listed, fix the cause, request delisting from that blacklist, and restart the ramp slowly with a verified list.
